1. Bring your roster without turning every record into a member

Import a CSV and map its columns. Email is required; names and class year are optional. Supported fields also include company, role, industry, contact and education details, plus configured institution custom fields. An imported institutional contact is not the same as someone who has joined the community. Keep track of invitations and verified membership rather than assuming the whole spreadsheet is already participating. All images here use our fictional demo school.

2. Let alumni complete and review their own profiles

Invite alumni and verify their membership in your institution. They can enter and edit their own profile details. Where enabled, LinkedIn-assisted information can help build a profile. For later LinkedIn updates, members review the suggestions and choose what to apply; location changes require confirmation. Importing a roster does not create a verified member, and a suggested LinkedIn update does not automatically overwrite a joined member’s profile.

3. Find the right people in the list or on the map

Alumni search their community by name, company or city, then narrow the directory by class year, city, industry and configured institution fields. Open a profile to understand someone’s experience and what you share. The member directory and administrator contact list serve different audiences and permissions.

Switch to the map to see where your community is based. People are grouped around approximate saved city locations rather than live device positions. Member email and phone are shown to their connections and authorized community administrators; other members need to connect first. The directory helps people discover one another within their institution, while the privacy policy explains the broader data terms.

Keep institutional contacts and member updates distinct

For people who have not joined, enabled institution tools can find a LinkedIn candidate from an email; the administrator confirms the right person before saving it. A known LinkedIn URL can be used to refresh the institutional contact record. Optional periodic contact refresh is off by default and subject to eligibility, configuration, provider availability and limits. It does not automatically overwrite joined members’ profiles or guarantee instant job-change alerts.

Questions about the alumni directory

Do alumni need LinkedIn to make a profile?

No. Alumni can enter and edit profile details themselves. LinkedIn-assisted information is an optional way to help complete a profile where enabled. Members review suggested LinkedIn changes and choose what to apply; availability depends on the institution’s configuration and providers.

Does every profile update automatically when someone changes jobs?

No. Joined members review suggested LinkedIn updates before applying changes. Institutional contacts who have not joined are a separate record: enabled tools can refresh a known LinkedIn URL, and optional periodic contact refresh is off by default and subject to eligibility and limits. Refreshed contact data can show a job change; this is not instant monitoring of every member.

Is an imported contact already a verified member?

An imported contact is not a verified member. A roster record and a joined community member are distinct. Import a CSV with supported mapped fields; email is required. People still use the institution’s invitation and verification flow. Imported records and pending invitations do not count toward the plan’s verified-member capacity. Verified members, including staff and administrators, count regardless of recent activity.

Is the directory a public list of alumni?

The member directory is for the institution’s community. Administrators have a separate institutional contact view governed by their access permissions. Member email and phone are visible to connections and authorized community administrators; other members need to connect first. See the privacy policy for the broader data terms.

Does the alumni map show exact addresses or live GPS locations?

The map groups people by city using approximate saved locations. It is a city-level community view, not live device tracking. See the privacy policy for the broader data terms.

Who can export the alumni list, and what does the CSV contain?

Authorized institution administrators can export the member or contact list, including a filtered list. The export requires administrator access to that institution and is subject to limits and an audit record; ordinary members do not get this administrative export. It contains the supported list fields, not all messages or activities. Review the columns and intended recipients before moving data to another system.

Can we keep our CRM? Which integrations are available?

Yes. Keep your CRM for its existing responsibilities and transfer supported records through CSV. A configured Mailchimp connection supports audiences, segments and tags. Member synchronization respects marketing consent; it does not synchronize every CRM. Salesforce, HubSpot and Slack are not available native integrations: their listings are marked coming soon. Alumnia is not presented here as a complete admissions or fundraising CRM replacement.

What does the alumni directory cost?

The Free plan includes the core platform up to 100 verified members. Availability depends on your institution’s configuration. Paid plans have a flat monthly fee by verified-member capacity; verified staff and administrators count even without recent activity, while imports and pending invitations do not. The pricing page lists every USD monthly tier and custom Enterprise terms.
